800 Voice Mail Service
Supervisor Instructions
Welcome to Sports Voice Services Smart Voice Mail Service.
Smart Voice Mail Service is a service that provides you a way to restrict access to your
recorded information by use of your callers telephone number (ANI). The number of times an
ANI can call your service can be set from 1 to 99 calls per message update. Each time you
record a new message, more calls are allowed.
Smart Voice Mail Service supports "real time" ANI capture. Calls that arrive by
directly dialing the 800 number are "logged" into a database for your later
retrieval. Many of the systems features utilize the ANI capture feature. All calls to your
service are logged by the computer and can be accessed via supervisor function by voice or
fax
Smart Voice Mail Service has the ability to play a customized "Entry
Message" and "Exit Message" or you can use the systems prerecorded
"Entry" and "Exit" messages should you choose not to record your own.
If you do not want any message played, record a "blank" message in Bins 91 and
92.
Smart Voice Mail Service can optionally announce the day (Mon - Sun) and
the time, adjusted by your "time zone" to your callers, of when your Main
Message was recorded.
To get started using your service, you should record your
"Entry" and "Exit" messages. The "Entry message is a short
message played to callers before you Main Message such as "Thank you for calling XYZ
Company..." and the "Exit Message" is a short message played after the Main
Message such as "Thanks for your call...".

Table "A" lists the Message ID Number associated with each type
of message.
To "Log-on" into the system:
Your unique telephone number for both you and your Customers is:
______________. Your passcode is _________ #. This is your secret passcode - Not for your
customers!
Your Account ID Number is _____________. You will need the ID Number when
calling about your service.
To access your service, call the number above and wait for any message to
begin to play. Your may hear your recorded message, a system greeting, or a "reject
message". As soon as you hear any message, press the Star Key [*]
to interrupt that message and then enter your passcode from above, at the "Please
enter your passcode..." prompt. You are now at the Main Menu.
Main Menu functions include:
[1] - Record a message - To make recordings.
[2] - Play a message - To play a message.
[3] - Subscriber Functions - For managing your customers.
[4] - Supervisor Functions - For special features.
[#] - Exit the System - To hang up.
Here are detailed instructions for each menu choices:
[1] - Record a messages: All messages heard by
caller are made from this menu. The steps to record your messages for your callers are
listed below:
From the Main Menu - Press [1] to Record a message.
Enter a Message ID Number to record from the Table "A".
If there is already a message recorded - the message number is voiced-out followed by the
message. Press [1] to re-record it. You may press 1 during the message to start recording
immediately.
Speak your message - Press [#] when you are finished.
If you are satisfied with your message, press the [9] key to save it. Be
sure to wait for the system to begin speaking again (i.e.: message or menu) before you
hang-up. Best to hang-up using the proper keys if possible.
If there are other messages to record, press [2] and the next message
number to record.
When the LAST message is recorded - Press [#] to exit to the Main Menu.
[2] - Play a message: This function allows you to
play any message that has already been recorded by entering the Message ID number of any
valid ID Numbers listed in Table "A". Afterwards, you are returned to Main Menu.
[3] - Subscriber Functions: [NOT USED BY THIS SERVICE]
[4] - Supervisor Functions:
[1] - To Change your passcode.
[2] - Call counts and duration.
[3] - Change you office telephone number.
[4] - Fax usage report to your fax machine (Detailed Log).
[5] - (Not Used)
[6] - Fax usage report to your fax machine (Daily Log).
[7] - (Not Used)
[8] - Change You Fax Number.
[91] - Turn your service Off and On. Rejects all Callers when Off.
[#] - Exit to the Main Menu.
Most of these options are self explanatory. Here is brief explanation of
each:
[1] - Change your Passcode. Allows you to change
your passcode. This is the passcode you use to access the service. One reason you might
change it is if someone leaves your organization or somebody has "hacked" into
your service. Passwords can be up to 10 digits long difficult.
[2] - Call Counts and Duration. Will
"voice-out" this information since last reset (Normally done at midnight on the
last day of the month).
[3] - Change your Office Telephone number. Allows
you to change your office telephone number that's "voice-out" to your customers.
[4] - Fax usage report to your fax machine. (Not Available
in LA at this time) This will fax a report to your fax machine of the calls to
your service for the current month. Afterwards, you are returned to Main Menu.
[5] - (Not Used)
[6] - Fax usage report to your fax machine (Daily Log) (Not
Available in LA at this time). This will fax a report for a day in the current. Enter two digits for the day (i.e.: the
first would be 01). Afterwards, you are returned to Main Menu.
[7] - (Not Used)
[8] - Change You Fax Number. Use this option to
change your fax machine telephone number thats stored in the system.
[91] - Turn your service Off and On. Use this
option to Rejects all Callers to your service. Callers will hear a call back later
message. Enter 91 once to turn Off service and enter 91 again to turn on. The system will
advise you of which state the answering is in when you change it.
[#] - Exit to the Main Menu.
Initial Setup:
-
Record your Entry Message - Message # 91. This is the message that your
callers will here when they first arrive to your service. Check the table "A"
for the Message Number ID for Entry message. A sample Entry message might be: "Thanks
for the call... Here's today's message."
Next record your "Exit" Message - Message # 92 such as:
"Thanks for the call, Good Luck!"
Now record your Main Message bin - Message # 1.
Be sure to change your passcode to protect your service!
